Who we are

Easy Hire ("we", "us") operates an equipment hire business at 32 Timandra Place, Blenheim, New Zealand. We are an "agency" for the purposes of the Privacy Act 2020 and we comply with the Information Privacy Principles set out in that Act.

What we collect

When you use this website we may collect:

• Hire request details — the name, email address and phone number you submit through the hire request form, along with the equipment you're interested in and your preferred dates.
• Communications — records of phone calls, emails and messages between you and us about an enquiry or hire.
• Technical information — basic web server log information (IP address, browser type, pages viewed) collected by our hosting provider for security and reliability purposes.

How we use your information

We use the information you provide to:

• Contact you about your hire request and confirm a booking
• Provide the equipment hire service and any after-sale support
• Keep records required for tax, accounting, and legal purposes
• Improve our website, equipment range and service

Who we share information with

We do not sell or rent your personal information. We share it only with:

• Our hire-management software (HirePOS) — when we create a hire booking on your behalf, your contact details are stored in our HirePOS account.
• Our email and hosting providers — emails generated by the hire-request form are delivered through a transactional email service, and the website itself is hosted on Google Cloud infrastructure.
• Government agencies and law enforcement — where we are required to do so by law.

How long we keep it

We keep hire request records for as long as is reasonably necessary for the purposes set out above and to comply with our legal obligations (typically seven years for transaction records, in line with NZ tax record-keeping requirements). Web server logs are retained on a short-term, rolling basis.

Cookies

This website uses essential cookies needed to operate session-based features (for example, the admin login). We do not currently use third-party advertising or tracking cookies.

Security

We take reasonable steps to protect personal information against loss, misuse and unauthorised access. Our web traffic is protected by HTTPS and admin access is password-protected. No internet transmission can be guaranteed 100% secure, however.

Your rights

Under the Privacy Act 2020 you have the right to:

• Ask whether we hold information about you, and request a copy
• Ask us to correct information that is inaccurate
• Ask us to delete information we no longer need
• Complain to the Office of the Privacy Commissioner if you believe we have not handled your information appropriately — privacy.org.nz
